Called to Order: 3:40 PM

Headcount: Dragons: 2, Shadygrove: 1, Hawthorn Circle: 2-5, Apollo 77: 2, Pan’s Patch: 2, House of Atredies: unknown at this time

Next Meeting: The next meeting is an impromptu meeting to finalize all issues with Winterfest. It will be Sunday, February 1st, at 9:00 a.m. at Hawthorn Circle.

Registration Packets: Agreed on by everyone.

Storage: Pan’s Patch needs the space in their garage back and we would like to get our belongings out of the 9 Houses storage. As Quartermasters, this falls to Brian and James. Carol will call Aaron of 9 Houses after Winterfest to schedule a time for Brian, James and Michael to move all OWOW items from his storage area. All OWOW items will be stored in Hawthorn Circle’s attic. Any items too big will go to Nathan’s mother’s barn. Tina will document all items as they are placed in storage so we have an accurate account of OWOW props, etc.

Computer bill for domain: All agreed to pay. We had 500 hits to our website in the last 30 days.

Mission / Splitting of Accounts: This item is tabled until the first meeting after Winterfest, tentatively February 15, 2003.

PO Box: No mail, due to the weather. Wendy paid for a key for our box and will make a copy for someone else to hold. Her key will be kept at Hawthorn Circle.

Winterfest – Insurance: Wendy and Michael will get insurance by Friday. They will also check into purchasing insurance for Sunfest and explore other options to lower our insurance payment.

Treasurer Report: As of the last bank statement on 12-31-03: $13,078.45. Undeposited checks will be returned to the writers with a letter explaining they were not deposited in time. Jennifer to write letter to the two attendees explaining the situation.

House of Atredies: Member of House of Atredies has not been attending the last several meetings and has been unreachable by phone as there is no voicemail. Tuesday Wendy will attempt to contact at restaurant to seek intentions for Winterfest. If we have not heard from House of Atredies by the next meeting, that House will be considered not attending Winterfest. After Winterfest, Jennifer will compose a letter inquiring House of Atredies intentions regarding continuing relationship with OWOW.

Coral and Community Support: E-mail distributed regarding Coral’s accident was discussed. Michael to inquire as to whether she is in need of assistance (financial, some place to stay, outreach, etc.). Suggested we help as individuals and not as the organization of OWOW. This item was tabled to next meeting. Each member to consider dollar amount we as a group may be willing to contribute to assisting Community Outreach.

Fundraiser for Sunfest: Tina suggested a service auction for a fundraiser for Sunfest. Members of the community will be asked to donate “services and/or items” to be auctioned off as a fundraiser for Pagan Land. This could be anything from a trip to the airport to a massage to a catered dinner for two. All agreed this was a good idea.

Next meeting: February 1, 2004, 9:00 a.m., Hawthorn Circle. Reminder: This is an impromptu meeting and we will still have the scheduled meeting for February, tentatively scheduled for February 15, 2004.
